Changes to SSC Verifications - Education, Employment & References

SSC is happy to announce recent changes and upgrades to our verification system. SSC listened to ideas and suggestions from clients, including more transparency in our process, detailed notes and better explanations in emails or close out communications.

SSC has now leveraged technology with research capabilities that make it easier to locate, identify and confirm contacts/sources and begin a call log for every order quickly and efficiently.

Benefits of This Upgrade

  1. All notes are visible to the client under each employment and education verification. This allows you to see potential issues SSC may be running into while trying to verify with the source. It also allows you to provide helpful updates through a “status request” email. You can watch how to do that HERE.

  2. Increased number of attempts/outreaches, including precise call back time frames to assist in reducing verification turnaround times.

  3. Improved turn around times by streamlining the internal queue for SSC quality assurance review and approvals.

  4. Emails and report results with more details, in addition to more descriptive comments or notes when a verification is closed.

SSC Requires Signed Consent Forms:

Even the best technology can’t change sources that will not accept electronic consent forms. Many employers and schools require hand signed consent documents, SSC will continue to send email messages requesting these forms. The messages have been revised to make them easier to understand. The notes now have links that will allow you to download the sample forms and some will have a video attached to show how to properly upload it.

Please Note: It is the responsibility of the client to inform SSC of any delays or updates in providing the requested documentation or information. SSC will close the search as Not-Verified after four attempts if we have not received any response or ETA on when the documents will be provided to SSC.

SSC Steps to Verify

After SSC has identified and confirmed the verification, we will attempt to contact the source FIVE times. If we do not get a response from the source within the five attempts, SSC will close the verification as Not Verified. Due to the complexity of this process, many variables that can occur during the verification process. Here is a sample breakdown of how SSC processes a verification. Please note this is a general representation of five attempts.

1. SSC identifies and confirms Source as a genuine business.

2. SSC crosschecks resources to identify if they use a third party or require direct contact sources (if they use a third-party verification SSC will properly route for completion and apply fees associated with those systems).

3. If the source has been used to verify other employments we will attempt the same steps: Send a fax, email or call the correct department. SSC will also use reverse look up with the phone number provided as alternate sources of contact.

ATTEMPT 1

A. SSC will call the source for verification. If no one answers a second attempt will be conducted 3 hours later (if it is still within business hours, 8-5pm).

B. If a message system is engaged SSC will leave a message and a second attempt will be made the following business day.

C. If someone answers we will seek a verifying source (usually HR or payroll) or leave a message and attempt to contact the correct source immediately or the next day.

4. Depending on the above outcome we will continue reaching out to the source, each attempt will count towards the five. Note that in rare circumstances some verifications may require SSC to extend the five attempts, at no additional costs.

5. If a response from a source is provided after the verification is closed, SSC will update the search as verified with the note “Verification Updated”, at no additional cost. This may trigger an email stating that the candidate’s report has been completed.

Updating Info on a Verification

SSC occasionally receives verification updates from a client in two different categories.

A. Enhances a verification: Helpful updates from the client or candidate.

Example: Client orders a verification for ABC company. The client reads the notes and realizes that they can provide a better way of reaching ABC company. The client then uses the “REQUEST STATUS” option and sends SSC an update regarding the verification for ABC company.

B. Changes the scope of the verification: Update that changes the course of the investigation regarding the verification ordered (this will cause SSC to create a new verification and close the original as Not Verified and additional charges would be applied).

Example: Client orders a verification for ABC company. The client realizes that SSC needs to call XYZ company and tells us to try it that way. Since we are no longer verifying ABC company that verification will be closed and a new verification will be added for XYZ company.

Re-Opening a Verification

SSC will no longer be able to re-open a closed verification unless we receive updated information from the verification source company or school being contacted or if the information verified is under dispute. These will be automatically re-opened by SSC and completed at no additional cost.

If a verification is closed as Not-Verified and a client provides new information or correct documentation, then a new verification search will be created and added to the order.

If a verification is closed as Verified, but it activated the inspect icon for any reason and the client wants it re-verified this will also require a new verification request.

Cancellations

In order to best serve our customer and manage our internal costs, SSC will only cancel verifications at no cost within 24 hours of it being ordered. If a client wants to cancel a verification after that period they can do so, however the cost of the search will still be billable.
